Privacy Policy

This policy describes how Ridian Operator, a desktop application for Windows from Ridian Technologies LLC, handles your data. The short version: Ridian Operator is single-user software that runs entirely on your own machine. Your data stays there. Ridian Technologies operates no server that receives, stores, or processes it, and collects nothing from the application.

What the app handles, and where it lives

Ridian Operator works with contacts, pipeline deals, notes, settings, credentials, and the documents it generates. All of it is stored locally in your own Windows AppData folder on your machine. Sign-in tokens (OAuth tokens) for QuickBooks Online and Google Workspace are stored locally the same way and are never transmitted to Ridian Technologies.

What leaves your machine, and to whom

To do its work, the application calls four third-party services directly from your machine, using your own accounts:

• Anthropic — the AI model that powers the assistant. Text you ask it to work on is sent to Anthropic for processing (Anthropic privacy policy).
• OpenAI — text-to-speech and speech-to-text. Audio you record and text to be spoken are sent to OpenAI (OpenAI privacy policy).
• Intuit QuickBooks Online — the app reads your customers, items, and invoices, and can create unsent invoices. There is no code path to send, email, or delete invoices (Intuit privacy statement).
• Google Workspace — the app reads Gmail message headers (message bodies are never requested), creates Gmail drafts (it cannot send mail), reads your Google Calendar, and accesses only the files it itself creates in Drive (Google privacy policy).

Content sent to those services is governed by their own privacy policies, linked above. None of it passes through Ridian Technologies on the way.

Ridian Operator's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

What Ridian Technologies collects

Nothing from the application. Ridian Operator contains no analytics, no telemetry, no tracking, and no advertising. We do not sell or share user data — we never have it in the first place. If you email us for support, we will have whatever you chose to include in your email, and we use it only to help you.

Retention and deletion

Your data stays on your machine until you remove it. You can delete all local data created by the application by removing its folder from your Windows AppData directory. There is nothing to delete on Ridian's side, because nothing is stored there.

Security

Your data is protected by the same thing that protects the rest of your files: your Windows user account and the security of your machine. Because the application stores everything locally, there is no Ridian-operated server for your data to be exposed from. Keep your computer and your third-party accounts secure — they are the boundary that matters.

Children's privacy

Ridian Operator is business software and is not directed at anyone under 13. We do not knowingly collect information from children — as described above, we do not collect information from the application at all.

Changes to this policy

If the application's data handling changes, we will update this page and the “Last updated” date above. Material changes will be called out in the application's release notes.
